Privacy policy

Your privacy is an important factor for Talenten.vn (hereinafter referred to as Talenten). Please carefully read this User Information Security Policy (hereinafter referred to as the “Security Policy”) as it is a part of the Terms of Use to manage the use of services on the Talenten website. This Security Policy Notice explains:

  • The type of personal information Talenten processes when you use Talenten’s services.
  • How Talenten processes your personal information when you use Talenten’s services.
  • The purposes for which Talenten collects and processes your personal information.
  • Your access and editing rights to your personal information.
  • Third parties to whom Talenten may disclose your personal information.
  • Mandatory or voluntary nature of providing personal information and consequences if you refuse to provide personal information when required.
  • How Talenten maintains the security and confidentiality of your personal information.

This Security Policy will apply to the use of Talenten’s services immediately after Talenten has sent a notice and been accepted by you. If you do not wish to accept the terms of this Security Policy, you should not continue to use Talenten’s services. If you continue to use Talenten’s services, you have expressed your consent to the obligations under the terms of this Security Policy.

1. COLLECTION OF PERSONAL INFORMATION

  1. When registering for Talenten’s services
  • When registering for any Talenten service, you will be required to provide certain personal information to set up your account, to authenticate your identity in accordance with current legal regulations (including updates).
  • Any personal information marked as “Required” by Talenten must be provided, and you agree to allow Talenten to process this information. If you do not agree to provide this personal information and/or do not agree to us processing information according to this Privacy Policy, Talenten will not be able to provide related services, and your service registration will be denied.
  1. From the use of your Talenten services
  • We collect personal information directly from you when you choose to participate in any Talenten service. Here are examples of personal information that Talenten may directly collect from you: age, date of birth, landline or mobile phone number, personal images, education, personal interests, work experience, access history, job search, applications, and other information related to your job profile (CV). Additionally:
    • If you choose to add references to your profile, Talenten will request the names, phone numbers, emails, job positions, and specific information of those individuals. This information will be attached to your job application profile, and employers may contact the references listed to obtain information for your job application.
    • If you wish for Talenten to cease processing your personal information, Talenten will not be able to provide related services to you.
  • By accessing and agreeing to the content of this Privacy Policy, you allow Talenten to collect, process, and control your personal information for the purposes stated in Article 2 of this Agreement.
  1. When you access Talenten’s services
  • When you access any website within the Talenten system, our website servers will automatically collect your access information, including your IP address, time, date, and duration of access. Your IP address is a unique identifier for your computer or other accessing devices.
  • Talenten may track your access activities on any Talenten website by setting a “cookie” on your computer or other accessing devices when you log in. Cookies are small text files placed on your computer or other accessing devices by the websites you visit. They are widely used to make websites work, or work more efficiently, as well as to provide information to the owners of the websites.
  • Cookies allow Talenten to retain your data state so that you do not have to log in again on your next visit. Cookies also help Talenten collect anonymous access data to track trends and user patterns. Talenten may use anonymous access data to help advertisers provide more targeted advertisements.
  • You can remove cookies by following the instructions provided in your Internet browser’s “help” file. You should understand that some content of certain websites will not display if you configure your Internet browser not to accept cookies.
  • Talenten also uses clear gifs in HTML-formatted email to identify which emails have been opened by the recipient. This allows Talenten to evaluate the effectiveness of certain media and the effectiveness of the company’s marketing strategies.

2. PURPOSE OF COLLECTING AND USING PERSONAL INFORMATION

  1. Talenten processes your personal information for the following purposes:
  • Identity Verification:
    • To identify and authenticate your identity.
  • Workability and Reliability Assessment:
    • To assess and/or determine your workability and level of reliability.
  • Profile Analysis:
    • To analyze your profile information to provide job recommendations based on analytical information.
  • Sharing Job Search Data:
    • To share job search data and your candidate profile with employers.
  • Service Provision:
    • To provide one of the Talenten services you have requested.
  • Operation and Management:
    • To operate and manage the Talenten services provided to you.
  • Communication on Service Usage:
    • To contact you regarding issues related to the use of Talenten services.
  • Career Opportunities Enhancement:
    • To improve job change opportunities or arrange specific services for you.
  • Verification of Educational Background:
    • To verify your educational background and professional qualifications by contacting educational institutions.
  • Processing Service Requests:
    • To process service requests during the use of Talenten services.
  • Investigation and Resolution:
    • To investigate and resolve any complaints or concerns you submit to Talenten related to its services.
  • Monitoring and Improving Service Performance:
    • To monitor and improve the performance of Talenten services.
  • Maintenance and Development of Services:
    • To maintain and develop Talenten services.
  • Understanding Information Preferences:
    • To understand your information preferences and adjust relevant content.
  • Research and Development:
    • To conduct research, development, and statistical analysis related to Talenten services to identify trends and develop new services to meet your interests.
  • Fraud Detection and Prevention:
    • To detect and prevent fraudulent activities, scams, and legal violations.
  1. You cannot restrict the processing of your personal information for the purposes mentioned in Section 1 above because these are essential purposes when using Talenten’s services and a way for Talenten to fulfill its services to you. If you do not agree to Talenten processing your personal information for these purposes, you must terminate your agreement with Talenten for its services and stop using the services provided by Talenten.
  2. Talenten will seek your consent before processing personal information for purposes beyond those specified in Section 1 of this provision. 
  3. Additionally, Talenten may use your personal information for the following purposes:
  • Promotion and Introduction:
    • To promote and introduce other Talenten services, such as job introductions, course introductions, events, news, and connecting with employers.
  • Messages and Notifications:
    • To send you congratulatory messages and/or error notifications on Talenten websites and/or information on Talenten services.
  • Guidance, Advice, and Survey Information:
    • To send you guides, advice, and survey information to maximize your career development, including but not limited to using Talenten services.

3. YOUR RIGHTS REGARDING THE DATABASE

  1. Talenten provides you with the option to control your CV within the Talenten Profile Database. There are two ways to do this:
    • You can store your profile in the Talenten Profile Database but disallow it from being searched by employers, advertisers, or Talenten Partner account owners. Not allowing your profile to be searched means you can use it to apply for jobs online, but employers, advertisers, or Talenten Partner account owners will not have the right to access and search through the Talenten Profile Database.
    • You can allow your profile and job search data to be searched or suggested by employers, advertisers, or Talenten Partner account owners. When you choose to make your profile searchable or suggested, your entire profile information, personal information, and job search data will be visible to employers, advertisers, or Talenten Partner account owners when stored in the Talenten Profile Database.
    • In the case where you agree to share your job search data with employers, Talenten becomes an intermediary to connect and share this information with employers based on your consent. This connection may incur some fees to maintain the operational activities of the system; however, all these fees will be borne by the employers, and candidates will not have to pay these fees.
  2. Talenten strives to limit access to the Talenten Profile Database only to those who have registered with Talenten services, and they may retain a copy of your profile in their files or databases. However, in all cases, you have the right to approve or reject employers’ access to your profile.
  3. Talenten will take reasonable steps to ensure that third parties not mentioned above do not gain access to the Talenten Profile Database without Talenten’s consent. However, Talenten is not responsible for the retention, use, or security of your profile by any third party.
  4. Despite the provision in Section 3.1, Talenten has the right to full access to your profile for the purposes specified in Section 2.1 to perform Talenten services. You may reactivate a disabled account with Talenten if approved by Talenten.
  5. In addition to the rights specified in Sections 1, 2, 3, 4, and 5 of this provision, you have all the rights of a data subject as stipulated in Article 9 of Decree 13/2023/NĐ-CP on Personal Data Protection.

4. CHOICES AND ACCESS TO PERSONAL INFORMATION

  1. You may have various privacy concerns, and Talenten’s goal is to clarify the information we collect so that you can make meaningful choices about its usage. For example:
    • You can control who you want to share personal information with.
    • You can review and control your subscriptions for various marketing choices, Talenten services. You can view, edit, or delete personal information and preferences at any time.
    • You can choose not to receive any marketing materials from Talenten.
    • You can also subscribe to additional Talenten services by logging into your account on our homepage.
  2. You can delete your account at any time, and Talenten will then revoke all access rights to the account and profile in the database. Deleting your account will not affect profiles you have submitted to employers or that have been saved by employers; account owners (wanting a CV) will take place before the time you request to delete your account from Talenten.
    Here are the steps for you to delete your account from Talenten’s system:

    • Send an email to admin@talenten.vn with the subject Account Deletion Request.
    • Once Talenten receives the request via email, we will contact you to confirm the information.
    • Perform the account deletion from the system and provide feedback via email within 72 hours from the time we receive your request.

5. STORAGE OF PERSONAL INFORMATION

Talenten will retain your personal information for the period necessary to fulfill the purposes outlined in Section 2 above and for any legal or business purposes.

After the termination or disabling of your account, Talenten, its branches, or Talenten’s service providers may retain information (including your personal information) and user content for a reasonable commercial period for backup, archival, and/or audit purposes, as required by Vietnamese law.

6. SECURITY OF PERSONAL INFORMATION

  1. Talenten is committed to securing your personal information. Talenten has appropriate technical, administrative, and physical procedures to prevent loss, theft, and misuse, as well as unauthorized access, disclosure, alteration, and destruction of information. Sensitive information (such as bank account numbers, credit cards) entered into our payment gateway services or partner payment services will be encrypted during the transmission of information using SSL technology.
  2. However, no method of transmission over the Internet or electronic storage is 100% secure. Therefore, we cannot guarantee absolute security. If you have any questions about security on Talenten, you can contact us via email at admin@talenten.vn 

7. THIRD PARTIES USING INFORMATION

  1. Personal information mentioned in Section 1 above may be disclosed/used by the following third parties to connect Talenten’s services and you to relevant opportunities:
  • Employers / Businesses in need of recruiting personnel
  • Third parties contracting with Talenten to support Talenten in performing all or part of Talenten’s services for you, including but not limited to the following services:
    • Profile/assessment services.
    • Market research and website usage analysis services.
    • Providing relevant information, courses, events.
  • Strategic partners working with Talenten to provide one of Talenten’s services or to support marketing and introduction to Talenten users.
  • Schools/colleges/universities/research institutes you attended or those referred to verify your educational qualifications.
  • Specialized agencies where you are recognized for professional qualifications.
  • Professional consultants of Talenten when there is a need for basic understanding for consulting purposes.
  • Any third party owning part or all of Talenten’s assets or business (including commercial trade receivables) to support the third party in continuing to provide part or all of Talenten’s services that they own.
  • Other cases permitted by the regulations on data security.
  1. In addition to the above cases, you will be notified when your personal information may go to third parties, and you will have the opportunity to choose not to share this information.
  2. Talenten does not allow any third party to share information provided to another party or use it for purposes other than those agreed upon in the contract with Talenten.

8. RESPONSIBILITIES REGARDING YOUR PERSONAL INFORMATION

  1. You are responsible for providing Talenten with accurate, unambiguous, complete, and up-to-date information about yourself and individuals whose personal information you provide to us. You are also responsible for updating this personal information when there are discrepancies, ambiguities, incompleteness, or obsolescence by contacting Talenten via email at admin@talenten.vn. 
  2. In cases where you need to provide the personal information of someone else to Talenten that is not your information (for example, a referral or a guarantor), you should inform these individuals about providing their personal information to Talenten to ensure their consent for providing information and to let them know the address to find this Policy Notice (in the Privacy Policy section on our website).
  3. In addition to the obligations stipulated in Sections 1 and 2 of this, you have all the obligations of the data subject as specified in Article 12 of Decree 13/2023/NĐ-CP.

9. POSSIBLE UNINTENDED CONSEQUENCES AND DAMAGES

  1. Loss of data to entities mistakenly or erroneously allowed by the candidate.
  2. Fraudulent entities using your personal information to achieve unlawful purposes after being shared by you.
  3. Talenten may assess and analyze your data incorrectly when you do not regularly update it in the event of changes.

10. STARTING TIME, ENDING TIME OF DATA PROCESSING

  • From the effective date of this policy until the date you (data owner) request in writing to refuse to allow the processing of data sent to Talenten according to the contact information below.

11. TRANSFER OF YOUR PERSONAL INFORMATION OUTSIDE YOUR LOCAL JURISDICTION

Talenten may need to transfer your personal information outside your local jurisdiction if any service providers or strategic partners (“overseas companies”) are involved in providing a portion of Talenten’s services.

12. LINKED SITES

  1. Websites under Talenten may contain links to third-party websites. Talenten is not responsible for these third-party websites. Any personal information available on those sites will not benefit from this Privacy Policy and will depend on the privacy policy of the relevant third party (if any). We are not responsible for the practices implemented by any linked websites or services, including information or content therein. Please note that when you use links to go from our services to other websites or services, our Privacy Policy does not apply to those third-party websites or services. Your web browsing and interaction with any third-party website or service, including websites or services linked on our website, must comply with the regulations and policies of that particular third party. Additionally, you agree that we have no responsibility and no control over any third party that you allow access to your User Content. If you use a third-party website or service and allow that website or service to access your User Content, you do so at your own risk.
  2. You can access our site using login services such as Facebook Connect. This service will authenticate your identity and provide you with options to share certain personal information with us, such as name and email address, to pre-fill our registration form. Services like Facebook Connect provide you with options to post information about your activities on this website to your profile page to share with others in your network.
  3. Our website includes Social Communication Features, such as Facebook widgets and like/share/comment buttons, or mini interactive programs running on our website. These features may collect your IP address, the page you are visiting on our website, and may set cookies to enable the features to function properly. Social Communication Features and widgets are provided by third parties or directly on our website. Your interaction with these features is governed by the privacy policy of the provider.

13. YOUR CONSENT

  1. By using Talenten’s services, you agree to the collection and use of your personal information by Talenten as described above (which may change over time) unless and until you notify Talenten otherwise via email at admin@talenten.vn.
  2. In addition, you agree that referees, schools/colleges/universities you attended, professional bodies where you are recognized for your professional qualifications, and employers may disclose your personal information to Talenten.

14. CHILDREN’S PRIVACY

Talenten does not intend to collect or request any information from anyone under 13 or knowingly allow such individuals to register for the service. The service and content of the service are not intended for children under 13. In the event that we know that we have collected personal information from children under 13 without parental consent, we will delete that information as soon as possible. If you believe that we may have information from or about children under 13, please contact us.
